This policy explains what information we collect when you use this website, how we use it and the choices you have. We've written it in plain English.
Who we are
This website (cloudboticsinc.com) is run by Cloud Botics Inc. ("Cloud Botics", "we", "us"), 1880 S Dairy Ashford Rd, Suite 207, Houston, TX 77077.

What we collect
Information you give us. When you fill in a form (the free audit, contact form, quiz, calculators or the site assistant's “Leave my details”), we collect what you enter, such as your name, email, phone number, business name, industry, what you're interested in and your message.
Chat messages. When you chat with the site assistant or a demo AI agent, the messages you type are sent to our AI provider to generate a reply. If you then leave your details through the assistant, the last few messages of that conversation are saved with your details so we know what you asked about.
Reviews. If you send us a review at /review, we collect your name, email, role, company and review. Your email is used only to confirm the review is genuine and is never published.
Bookings. When you book a call through our calendar, the booking is handled by Calendly. We receive the booking details, such as your name, email and the time you chose.
How you found us. When you arrive, we note campaign tags in the link (for example utm_source), the website that sent you and the first page you visited, and attach these to any form you send. This tells us which ads and posts work.
Anonymous usage. We record simple events such as page views, which buttons are clicked, whether a demo was started or finished, and whether a form was started. These are linked to a random ID stored in your browser, not to your name, email or IP address. If your browser sends a Do Not Track or Global Privacy Control signal, we don't record these events.
Technical data. Like most websites, our hosting provider automatically processes technical data such as your IP address and browser type to deliver the site and keep it secure.
How we use it
- To reply to you, prepare your free audit and run your consultation
- To send you a confirmation and a small number of follow-up emails about your enquiry. Every email has an unsubscribe link, and the emails stop when you book a call or unsubscribe
- To understand which pages, demos and campaigns help visitors, and to improve the site
- To publish reviews you've given us permission to share
- To prevent spam and abuse, and to keep the site secure
- To meet legal obligations
AI chat and demos
The site assistant and the demo AI agents are powered by OpenAI. Your messages are sent to OpenAI to generate replies and are processed under OpenAI's API data policies. We don't keep demo conversations on our own systems unless you choose to leave your details through the assistant.
Please don't enter sensitive personal information, such as health details, financial account numbers or government ID numbers, into the chat. The demo businesses are fictional, and AI replies can be wrong.
Cookies and browser storage
We don't use advertising cookies. We store a few small items in your browser: where you first came from, a random visitor ID for anonymous usage events, the name and email from a form you've sent (so the calendar can be filled in for you), and the site assistant's conversation for the current visit.
The embedded Calendly calendar may set its own cookies. See Calendly's privacy policy for details. You can clear browser storage at any time in your browser settings.
How long we keep it
We keep enquiries and booking details for as long as we need them to respond to you and manage our relationship with you, and then delete them, or sooner if you ask. Anonymous usage events are deleted after about 13 months. Published reviews stay up until you ask us to remove them.
Your choices and rights
You can unsubscribe from our emails at any time using the link in any email. You can ask us to access, correct or delete the personal information we hold about you, or to stop using it, by emailing info@cloudboticsconsultancy.com. We'll respond within 30 days. Depending on where you live, you may have additional rights under local law, and we'll honour them.
We won't treat you differently for using any of these choices.
Security
We use reputable providers, encrypted connections (HTTPS) and access controls so that only authorised people can see submissions. No system is perfectly secure, so please contact us right away if you think there's a problem.
Children
This site is for businesses and is not meant for children. We don't knowingly collect information from anyone under 16. If you believe a child has sent us information, contact us and we'll delete it.
Changes to this policy
We may update this policy as our services change. We'll change the date at the top when we do, and for significant changes we'll make it clear on the site.
